Collecting and utilising personal data from customers, suppliers, and other contractors. This is how we do it.
We would like to make clear that we collect and use personal data you provide us with, as this is necessary to conclude and execute any agreement with you. This applies to our (potential) customers as well as parties from whom we purchase goods and/or services.
If you are a (potential) VHM customer, we need to make use of your data to send you quotes, determine the specifications or requirements for a certain item or service, deliver goods or perform work for you, send invoices, and communicate smoothly and efficiently about the implementation aspects of the agreement.
If you are a (potential) supplier or other contractor, your personal data is required for the conclusion and execution of agreements. Regarding purchasing, your details are necessary to provide you with our specifications or wishes regarding a certain item or service, send requests for quotes, place an order with you, pay your invoices and communicate smoothly and efficiently about other aspects of the agreement.
You are under no obligation to provide us with your personal data. However, if you provide us with no personal data, or inadequate personal data, we may not be able to carry out the aforementioned activities.
Third party sharing
In order to execute a possible agreement with you, we may need to provide your personal data to parties who supply parts, materials, and products to us, or carry out work on our behalf. We also make use of external server space for storage of (parts of) our sales and purchasing administration, of which your personal data is a part. For this reason, your personal data will be shared with our server space provider. We also use Microsoft Office and associated storage options for e-mails and other files. Finally, your personal data will be passed on to the provider of our newsletter mailing service.
Direct marketing
Providing you have granted us permission to do so, we will store your personal data and use it to inform you personally about our existing and new products and services by e-mail in future, and possibly send you offers for these. Each time we send you a mailing, you can cancel your subscription via an ‘unsubscribe’ link at the bottom of the mailing in question.
Retention period of personal data
If you have requested a quote from us but have not become a customer, we will delete your data after no more than one year after our last contact. If we have received a quote from you, but have not become a customer, we will delete your personal data after no more than one year after our last contact.
If you have become a customer of ours or we have become a customer of yours, we will store your personal data for a period of seven years after the end of the financial year in which the agreement with you was fully executed. This seven-year period corresponds to the period during which we are obliged to keep records for the Netherlands’ Tax and Customs Administration. At the end of this period, we will delete your personal data.
Your rights
You can ask us to provide an insight into your personal data at any time. If there is reason to do so, you can also request us to make additions or corrections to your personal data. What’s more, you have the right to demand erasure or restricted usage of your personal data. You may also object to collection and use of your data or file a complaint with the Dutch Data Protection Authority.
